A meeting editor can now request documents from internal or external persons ("contributors") on any agenda item. It is not mandatory that a contributor has a Sherpany access or whether he or she works in the same company. In other words, you can request someone to provide documents for a specific agenda item directly from the agenda item. Since the documents are placed directly at the desired agenda item, the placement step for the meeting editor is omitted. Of course, actions such as move, rename, delete, etc. are still possible for meeting editors. The procedure is as follows.
On each agenda item, contributors can be defined individually. The request can be individual or via Multi-Management.
When you request meeting materials from contributors (internal and external), a secure link is sent by email to all contributors. This link allows contributors to upload meeting materials directly to an agenda item. Documents uploaded by contributors can be identified by their icon. As a meeting editor, you will also receive an information by e-mail when a contributor has uploaded a document.
This new function is available in all rooms as of now. You can add yourself as a contributor to an agenda item to slip into the role of a contributor. Your Customer Success Manager as well as our support team will be happy to answer any questions you may have.
With this enhancement within the meeting agenda, you can prepare and schedule your meetings even more efficiently. For example, the following applications are possible.
Document upload from external contributors An external business partner can upload his document(s) directly to Sherpany via the secure link. This gives everyone involved time back and is also more secure than exchanging documents via e-mail.
Document upload from internal contributors Internal bodies that regularly provide documents for meetings can do this more easily and quickly as contributors. Contributors who are registered Sherpany users can also upload documents directly to iOS or Windows App when prompted.
Multi-Management As a session editor, you can request all contributors for each agenda item to provide the documents with a single click (see screenshot below). This allows you to plan your session better and more efficiently. Follow-up of the participants is also easy.
With Multi-Management, all contributors of all agenda items can be requested to contribute with only a few clicks.
