Swiss Securitas Group: From paper to performance with Sherpany

We spoke with Daniel Liechti, CEO of Swiss Securitas Group and an ex officio member of several boards, to learn more about their Sherpany story, from implementation through to impact.

Out with print, in with precision

Before Sherpany, meetings were burdened by time-consuming manual processes. “Before we used Sherpany, we distributed the documents in the really old school way, i.e. we printed them and then sent them out,” said Mr. Liechti. “Of course, we saved a lot of time by eliminating this time-consuming and error-prone process.”

The need for consistent and secure access across the group was a clear driver. “We use Sherpany primarily in the area of the Board of Directors as a platform for our Board meetings. This means that all meetings are held using this tool.”

 

Decision-making support

A standout feature shaped the decision to implement Sherpany. “At the time we did the evaluation, the main difference to the other products we looked at was this individual note-taking option,” he explained.

“This means that we have a deployment of the documents and yet each participant was able to take their own notes. And I think that was the function that convinced us the most at the time.”

Other factors added to the decision. “We opted for Sherpany because the range of functions suited us very well. It was a Swiss product. That also convinced us and that was the sum of the things that tipped the scales in favour of this solution.”
 

Keeping every director aligned

Sherpany improved how documents were shared and reviewed. “Sherpany has clearly improved efficiency, i.e. the efficiency of document distribution. All members of the Board of Directors receive the documents at the same time, of course. We also receive feedback on whether they have seen and looked at the documents.”

The platform also supports access to key governance content. “We also use the global library repository, where we make the most important documents such as articles of association, organisational regulations, etc. available to all stakeholders.”

When asked about security, Mr. Liechti was clear: “It enables us to make other important documents available to our stakeholders in addition to the documents of the Board of Directors... and of course also convinces us that the whole thing is very secure and that we can therefore also distribute such sensitive documents digitally.”

Enhanced preparation. Greater structure. Better meetings

Sherpany now plays a critical role in how board members prepare. “The Board of Directors uses Sherpany to prepare for Board meetings. It looks through all the documents, takes notes and can thus prepare itself optimally.”

Meetings themselves are also smoother. “The structure of the meeting is mapped in Sherpany 1 to 1 and the corresponding basis is then also stored for each agenda item. And that helps us to go through the meeting efficiently and in a structured manner.”

Timely updates are now guaranteed. “All Board members have the documents at the same time. It is always ensured that they have the latest documents, especially if we need to update documents on an exceptional basis.”

Time saved, clarity gained

Sherpany has helped reduce administrative friction. “Preparations are efficient thanks to Sherpany because we can distribute everything digitally, which saves us a lot of time, especially during preparation. And then of course in the meeting itself, because everything is clearly assigned, all the documents, the agenda items.”

For Mr. Liechti, the impact is clear. “We are now more efficient and more structured. We have filed the relevant document for each agenda item and, all in all, I would say we have gained efficiency.”

He added, “For me, the biggest advantage of working with Sherpany is clearly the increase in efficiency. We are faster and therefore more efficient both in the preparation and certainly also to some extent in the execution of the meetings, which also saves us money.”

A long-term partnership for stronger governance

The collaboration with Sherpany has been positive from the start. “The collaboration with the employees at Sherpany was always satisfactory. I think it took us a moment, especially at the beginning, to get everything set up the way we wanted it. And now I think we're running pretty autonomously, but so far we're satisfied.”

Looking back, the choice is validated. “When we made the decision to go with Sherpany, I think it was the right decision. At the time, there were few solutions that were as mature and as efficient as Sherpany and that's why we don't regret this decision at all.”

And would he recommend it? “I can recommend Sherpany to anyone conducting meetings, especially with external members of the meetings who are not within the same network.”
